HR Assistant | Blind Resume Writer - Remote Work
Overview:
To be a successful candidate you must possess exceptional desktop and organizational abilities, a keen eye for details; and excellent communication skills with proven expertise in reading and writing. As an administrative/human recruiting assistant, the need to have a high level of initiative is required plus the ability to track and manage your tasks together with your respective manager is needed. Your duties include basic administrative tasks such as editing or producing candidates' CVs and resume, creating candidate profiles, processing applications submitted on our ATS, and updating candidate profiles on application tracking systems and leaving notes (breadcrumb), Pipeline status of candidates on ATS.
We are looking for a dynamic Administrative/Human Resource Assistant to help facilitate the company's hiring process. In this role, you'll support the company's recruitment duties and ensure that all recruitment procedures run smoothly.

Responsibilities of the Human Resource Administrative Assistant:
- Assist in editing and formatting candidates' CVs and resumes to align with client requirements.
- Update and maintain accurate candidate information in the Applicant Tracking System (ATS), including notes (breadcrumb trail) and pipeline statuses.
- Conduct initial screenings and assist in anonymizing resumes for unbiased recruitment practices.
- Collaborate with senior recruiters, supervisors, and managers to support hiring initiatives and ensure smooth recruitment workflows.
- Track, monitor, and report on the progress of recruitment activities and provide insights to improve efficiency.
- Utilize AI tools and advanced technologies to streamline administrative tasks.
- Ensure all candidate data complies with data privacy regulations and organizational policies.
- Works closely with the Senior Talent Acquisition Specialist, Supervisors, Managers, and Division Directors to maintain the database and handle any relevant paperwork.
- Analyze and interpret data from resumes, providing insights to support decision-making.
- Ensure compliance with data protection regulations and maintain high standards of data privacy.

Requirements:
- Excellent writing and reading communication skills.
- Proficient in Google Spreadsheets and Google Docs.
- Ability to work independently and work well with a team.
- Ability to thrive in a fast-paced environment.
- Typing speed 40 words per minute.
- High-Speed Internet Connection 30mbps up
- In-home office setup including Mac or PC Computer (including webcam) with minimum 5.0ghz dual-core processor, 16GB, and the most recent version of MS Office installed (all programs; Word, Excel, Outlook, PowerPoint)

Qualifications:
Education:
- Preferred but not required: Degree in Communications, Human Resources, Education, or related fields.
Experience:
- Minimum of 2 years of related work experience in recruitment, HR or administrative roles (Required).
- Proven experience in using Applicant Tracking Systems (ATS) and sourcing techniques, including Boolean searches and Google X-ray.
- End-to-end Recruitment Experience: 2 years (Not Required)
- Familiarity with Applicant Tracking Systems (ATSs) and sourcing techniques is an-advantage.
- Boolean search techniques and Google Xray. (Not Required)
Skills:
- Excellent organizational and multitasking skills.
- Proficient in Google Workspace (Docs, Sheets) and MS Office (Word, Excel, Outlook, PowerPoint).
- Typing speed of at least 40 words per minute.
- Ability to adapt communication styles for diverse audiences and cultural backgrounds.
Excellent Communication Skills:
A. Verbal Communication:
- Ability to articulate ideas clearly and confidently. (American accent preferred).
- Active listening skills to understand candidates' needs and concerns.
- Effective questioning techniques to gather relevant information.
B. Written Communication:
- Strong writing skills for composing compelling job descriptions and emails.
- Proficiency in grammar, spelling, and punctuation to maintain professionalism.
- Clarity and conciseness in written correspondence to convey information effectively.
C. Interpersonal Communication:
- Ability to build rapport and establish trust with upper management team members, directors, executive team and CEO.
- Empathy and emotional intelligence to understand candidates' perspectives and needs and most importantly the perspective of the end client whom you will be working with.
- Diplomacy and tactfulness in handling sensitive conversations or feedback.
- Ability to maintain confidential information
II. Proficiency in English Language:
A. Fluency:
- Fluent and articulate in spoken American English Accent with clear pronunciation.
- Ability to express ideas and convey information fluently without language barriers.
B. Written Proficiency:
- Strong writing skills in English with grammatical accuracy and coherence.
- Ability to draft professional emails, reports, and other written communications effectively.
C. Comprehension:
- Ability to understand complex ideas and instructions communicated in English.
- Proficient comprehension skills to grasp nuances in conversations or written materials.
D. Adaptability:
- Ability to adapt communication style to accommodate diverse audiences, including candidates from different cultural backgrounds.
- Flexibility in adapting to variations in English accents and dialects.
III. Recruitment Skills:
A. Candidate Sourcing:
- Familiarity with various sourcing channels, including job boards, social media, and professional networks.
- Ability to conduct targeted searches and identify qualified candidates.
B. Screening and Assessment (not required but helpful):
- Skill in conducting thorough candidate screenings, including resume reviews and initial interviews.
- Ability to assess candidates' qualifications, skills, and cultural fit for specific roles.
C . Relationship Building:
- Strong networking skills to build and maintain relationships with your peers and industry contacts.
- Ability to engage analyze candidates resume and nurture talent pipelines.
D. Negotiation (not required but helpful):
- Proficiency in negotiation techniques to secure favorable terms with candidates, including salary and benefits.
- Ability to address concerns and objections effectively while maintaining positive relationships.
Essential Duties and Responsibilities:
- Execute brand strategies to ensure a consistent company branding and marketing message.
- Evaluate and understand potential candidate needs and requirements
- Continuously develop and maintain productive business relationships with internal customers and stakeholders to increase productivity and work output.
- Collaborate and work with Division Leaders, provide feedback to the CEO, CHRO and the rest of the HR Team / VP's and President on marketplace trends, challenges, and product access.
- Collaborate with the Executive Team to establish goals and implement plans to enhance current skill sets and sales results.
- Stay current with database information and reporting
- Problem-solve and present advertising account analysis for new clients
- Assist with demonstrations of the products and company presentations
- Source new sales opportunities through inbound lead follow-up and outbound cold calls and emails
- Conduct regular follow-up with VP's to determine the effectiveness of recruiting efforts.

- Must be available during normal USA Business Hours
- Hours of work: Monday-Thursday 9am 6pm & Fridays 9am-1pm EST
