Job Summary The Human Resource Assistant works in support of hiring managers serving the HR needs of the company. This includes recruiting, initial interviewing of applicants; presenting candidates to hiring managers; tracking pay, benefits, and leave; record-keeping, file maintenance, and HRIS entry for all business locations; and enforcing company policies and practices. The HR Assistant shall be responsible for payroll entry and also act as an emergency back-up for accounting.
Duties/Responsibilities - Maintains knowledge of trends, best practices, regulatory changes, and new technologies in human resources, talent management, and employment law.
- Maintains compliance with federal, state, and local employment laws and regulations, and recommends best practices; reviews policies and practices to maintain compliance.
- Drives recruitment and interview process. Tracks status of candidates in HRIS and responds with follow-up letters at the end of the recruiting process.
- Recruits, interviews, and facilitates the hiring of qualified job applicants for open positions; collaborates with departmental managers to understand skills and competencies required for openings.
- Submits online investigation requests and processes new-employee background checks.
- Conducts new hire orientations and employee recognition programs.
- Verifies documents and completes Forms I-9, processes E-Verify requirements, and maintains I-9 files.
- Prepare new employee files and enter information into HRIS.
- Administers health and welfare plans, including enrollments, changes, and terminations by processing required documents through payroll and insurance providers to ensure accurate record-keeping and proper deductions.
- Handles employment-related inquiries from applicants, employees, and supervisors, referring complex and/or sensitive matters to the appropriate staff.
- Reconciles benefits statements.
- Processes terminations.
- Performs routine tasks required to administer and execute human resource programs including but not limited to compensation, benefits, and leave; disciplinary matters; disputes and investigations; performance and talent management; productivity, recognition, and morale; occupational health and safety; and training and development.
- Reviews, tracks, and documents compliance with mandatory and non-mandatory training, continuing education, and work assessments. This may include safety training, anti-harassment training, professional licensure, and aptitude exams and certifications.
- Enter payroll information each Tuesday for proper payroll due Friday.
- Receives Child Support notices, processes them, maintains files for such documents.
- Assists routine data entry management for accounting records including accounts payable.
- Assists with billing statements, invoices, and similar documents for accuracy, alerts supervisory staff of any discrepancies.
- Maintains inventory of supplies and orders as needed for Corporate Office.
- Perform any other duties as assigned.
Required Skills/Abilities - Excellent verbal and written communication skills.
- Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
- Excellent organizational skills and attention to detail.
- Proficient with building and utilizing spreadsheets and other Microsoft Office Suite software.
- Proficient with or the ability to quickly learn payroll management, human resource information system (HRIS), and similar computer applications.
Education - Associate’s degree in related field preferred.
